Position:
Kinetic Marketing Company is seeking to hire a Project Manager at our Billings, Montana office.
What You Will Do:
The Project Manager works within the Kinetic traffic team to manage all marketing and communications projects for assigned clients. From new business meetings and pitches through project completion, the Project Manager is responsible for ensuring projects are done on time and within budget. The Project Manager guides the project through the developmental and creative stages and ensures that all projects are complete and of the highest quality. The Project Manager is the liaison between the Account Director and the agency creative team or vendors/independent contractors. As an effective problem-solver on a day-to-day basis, you must be adept at managing resources, timelines and project deadlines, with a sharp attention to detail and a focus on delivering high-quality, accurate outcomes.
The Project Manager must be a conscientious team player and a good organizer and keep multiple pieces moving simultaneously. The ideal candidate will also demonstrate excellent verbal and written communication skills, exhibiting strong initiative and a take-charge attitude.
Reports to the Traffic Director.
Responsibilities:
- Proactively gather the necessary information to plan and implement each client project.
- Understand various project lifecycles and take appropriate next steps to ensure the project is actively completed in-house or by vendors/independent contractors.
- Manage time and financial resources to ensure client projects are on time and within budget. Open projects in agency software promptly and accurately and track project expenses.
- Ensure all media and projects proceed according to plan and deadlines, drawing the attention of the Account Director to potential problems before they occur.
- Manage monthly billing processes by reviewing time transactions and expenses and collaborating in monthly revenue reconciliation meetings to ensure accuracy; responsible for creating invoices in a timely manner.
- Provide timely issuance of all documentation: proposals, project outlines, creative briefs, estimates, timelines, meeting summaries and status and budget reports.
- Track and manage internal/external creative resources on project deliverables. Work with the Account Director and Traffic Director to ensure projects are appropriately resourced.
- Implement and execute change orders and estimates with the Account Director.
- Maintain constant communication with the Account Director regarding project progress, feedback and completion. Report on project budgets to the Traffic Director and Strategic Director regularly.
- Take notes at meetings, prepare and distribute contact reports (status call reports), etc.
- Provides input in planning stages as requested by the Account Director.
- Assist with mailings, processing final copy, agendas, conference reports, proposals, correspondence and other materials related to account service.
- Stays aware of client activities to provide backup when the Account Director is unavailable. Knows, at any given moment, where a project is to report to directors or the Traffic Director and can speak to the ongoings of the smallest details of the project.
- Ensure all time, materials and expenses are accurately tracked for each project. Reconcile project errors as necessary in the accounting system.

Qualifications:
- Bachelor’s degree in Business, Marketing or a related field
- Minimum of two years of project management experience in a fast-paced environment
- Agency experience is preferred but not necessary
- Demonstrated ability to manage multiple projects and deliverables simultaneously
- Familiarity with computer programs (Microsoft Word, Excel, Outlook, PowerPoint, CRM, etc.)
